This Privacy Policy explains how The AutoMedic collects, uses, discloses, retains, and protects personal information when you visit theautomedic.com, use our online forms or customer pages, communicate with us, request a quote or appointment, receive automotive services, or otherwise interact with us.

The AutoMedic is a mobile automotive service business based in Newport Beach, California, serving eligible locations in Orange County. Our services may include diagnostics, maintenance, repairs, battery service, emergency battery assistance, brake service, and pre-purchase inspections.

We do not sell customer contact, vehicle, quote, inspection, appointment, repair, or payment information for money. We use personal information to operate the business, provide requested services, maintain required records, communicate with customers, improve the website, and comply with law.

1 Scope

This Policy applies to information collected through theautomedic.com, related online forms, quote and approval pages, appointment and scheduling pages, installable web-app features, email, telephone and text communications, customer uploads, HomeBase administrative workflows, and services performed by The AutoMedic.

This Policy does not govern a third-party website, application, payment processor, scheduling provider, map, review widget, vehicle-data service, or other external service that has its own privacy policy. It also does not replace any separate privacy notice that may apply to employees, job applicants, or independent business contacts.

2 Information We Collect

2 1 Information You Provide

Depending on how you interact with us, you may provide the following information:

Contact information, including your name, telephone number, email address, preferred contact method, service address, city, ZIP Code, and access instructions.

Vehicle information, including year, make, model, trim, engine, drivetrain, color, mileage, VIN, license plate, issuing state, warning lights, diagnostic trouble codes, symptoms, modifications, damage, prior repairs, maintenance history, and vehicle location.

Service and inspection information, including the requested service, quote details, selected options, inspection concerns, diagnostic findings, parts information, repair recommendations, approvals, declines, authorizations, reports, and customer instructions.

Scheduling information, including preferred start-time windows, confirmed appointment dates and times, availability, location details, parking conditions, gate or access information, and communications about rescheduling or cancellation.

Seller dealer and third-party information, including a seller or dealership name, contact name, telephone number, address, listing link, and vehicle location when you request a pre-purchase inspection or authorize us to coordinate with another person.

Files and media, including photographs, videos, diagnostic reports, inspection documents, invoices, vehicle listings, screenshots, and other files you choose to upload or send.

Communications, including emails, text messages, form submissions, voicemail content, questions, feedback, complaint information, communication preferences, and records of consent or opt-out requests.

Transaction information, including quote amounts, estimates, invoice details, services purchased, parts supplied, payment status, refunds, and limited payment-related information supplied by a payment processor.

Please do not send full payment-card numbers, bank-account credentials, government identification numbers, passwords, or other unnecessary sensitive information through a general website form, email, text message, or file upload.

If you provide information about a vehicle owner, buyer, seller, dealership employee, family member, fleet contact, property contact, or other person, you represent that you are authorized to provide the information for the requested service. We use that information only for legitimate business purposes such as preparing a quote, identifying a vehicle, coordinating access, arranging an inspection, communicating about an authorized job, or maintaining required records.

We may receive information from:

A vehicle owner, buyer, seller, dealership, fleet manager, family member, or other authorized representative.

Our technicians and staff, including inspection findings, photographs, videos, service notes, diagnostic results, arrival information, authorizations, and completion records.

Vehicle identification, parts, fitment, battery, warranty, mapping, address-verification, and other automotive-information providers used to prepare or perform a service.

Payment, accounting, appointment, email, text-messaging, website-hosting, security, cloud-storage, and business-workflow providers.

Publicly available vehicle listings, dealership pages, government records, or other sources when relevant to a request you submit.

2 4 Information Collected Automatically

When you use our website or online services, we and our service providers may automatically collect internet and device information such as your IP address, approximate location derived from the IP address, device type, browser type, operating system, language, referral source, pages viewed, buttons selected, dates and times, form and website events, cookie identifiers, and diagnostic or security logs.

We do not continuously track the precise GPS location of your device through the website. We collect a service address or vehicle location when you provide it because mobile automotive service requires a location.

3 How We Use Information

We may use personal information to:

Respond to inquiries and identify the customer, vehicle, requested service, seller, dealership, or service location.

Prepare quotes, confirm parts or battery fitment, estimate labor, assess service-area eligibility, and determine whether a job can be performed safely and effectively.

Create, schedule, confirm, reschedule, dispatch, perform, document, and complete appointments and services.

Contact customers and authorized third parties about a quote, authorization, vehicle, inspection, appointment, parts, access, report, invoice, warranty issue, or other service matter.

Create and deliver inspection reports, diagnostic findings, photographs, videos, service summaries, estimates, repair orders, invoices, receipts, and warranty information.

Process payments, refunds, accounting entries, taxes, and other transaction records through appropriate service providers.

Maintain records of customer approvals, revised authorizations, declines, communication preferences, consent, opt-outs, and job history.

Operate, secure, troubleshoot, measure, and improve our website, forms, applications, communications, and internal HomeBase workflows.

Prevent fraud, misuse, security incidents, duplicate or invalid requests, and unauthorized access.

Comply with automotive-repair, tax, accounting, consumer-protection, privacy, records, legal-process, insurance, and other legal obligations.

Establish, exercise, or defend legal claims; investigate complaints; and protect customers, personnel, property, and the public.

4 Cookies Analytics and Embedded Content

The website uses cookies and similar technologies for functions such as page operation, security, form processing, preferences, performance measurement, and analytics. A cookie is a small file stored by a browser. You can usually control or delete cookies through your browser settings, although disabling necessary cookies may prevent parts of the website from working properly.

The website uses analytics and tag-management tools, including Google Analytics and Google Tag Manager, to understand website traffic and interactions. These tools may receive online identifiers, device information, browsing activity, approximate location derived from an IP address, and event information. We use this information to measure and improve the website, forms, and marketing performance.

4 1 Do Not Track and Preference Signals

Some browsers offer a Do Not Track setting. Because there is no uniform industry standard for interpreting that signal, our website does not currently respond to Do Not Track signals. You may control cookies through your browser and any consent controls we make available. Where applicable law requires The AutoMedic to recognize a legally valid browser-based opt-out preference signal, we will handle it as required by that law.

5 How We Disclose Information

We may disclose personal information to the following categories of recipients for the purposes described in this Policy:

The AutoMedic personnel, including staff and assigned technicians who need the information to quote, schedule, coordinate, perform, document, invoice, or support the service.

Service providers that support website hosting, security, forms, cloud storage, email, text messaging, scheduling, customer workflow, analytics, mapping, vehicle data, parts and fitment research, payment processing, accounting, document delivery, and technical support.

Parts suppliers, battery suppliers, dealerships, vehicle-information providers, manufacturers, warranty administrators, or other automotive businesses when disclosure is reasonably necessary to identify a vehicle or part, confirm fitment, obtain a product, administer a warranty, or perform authorized work.

A seller, dealership, vehicle owner, buyer, fleet contact, family member, or other person when you direct or authorize us to communicate with that person.

Professional advisers and insurers, including attorneys, accountants, auditors, insurance companies, and claims administrators, when reasonably necessary.

Government authorities, regulators, courts, law enforcement, or other parties when required by law, legal process, licensing requirements, a valid request, or when reasonably necessary to protect rights, safety, customers, personnel, property, or the public.

A prospective or completed buyer, successor, investor, or adviser in connection with a merger, financing, reorganization, sale of assets, or transfer of the business, subject to appropriate confidentiality and legal requirements.

We do not sell customer contact, vehicle, quote, inspection, appointment, repair, or payment information for money. We do not disclose customer contact information to third parties for those third parties to market their own unrelated products or services directly to the customer.

Analytics providers may receive online identifiers and website activity to provide measurement services. We do not authorize analytics providers to use service records, VINs, license plates, inspection reports, or customer communications for their own direct marketing. If applicable law treats a particular analytics disclosure as a sale or sharing, any legally required opt-out rights remain available.

6 Payments

Payments may be handled by a third-party payment processor or accounting platform. The payment provider may collect payment-card or bank information directly under its own privacy and security practices. The AutoMedic may receive transaction details such as the customer name, billing contact information, amount, date, payment status, processor token, card brand, and last four digits, but we do not need the full payment-card number or security code in a general service form.

Do not send full payment credentials by ordinary email, text message, or general website upload. Use only the payment method or secure payment page provided for the transaction.

7 Text Messages Calls and Emails

We use telephone numbers and email addresses to respond to requests and to communicate about quotes, approvals, seller or dealership coordination, appointment windows, confirmations, technician arrival, service status, reports, invoices, reminders, warranty matters, and customer support.

Service-related communications are different from promotional marketing. When separate consent is required for marketing texts, that consent will not be a condition of purchasing service. Message frequency varies. Message and data rates may apply. You may reply STOP to an automated text-message program to opt out and HELP for assistance, or contact us using the information below. An opt-out from marketing does not prevent necessary nonmarketing communications about an active request, authorized service, payment, safety issue, or legal notice when allowed by law.

You may unsubscribe from promotional email through an unsubscribe link when provided or by contacting us. We may still send nonpromotional messages relating to an active transaction, service record, security issue, or legal obligation.

8 Photographs Videos Uploads and Reports

Photographs, videos, scan reports, inspection materials, and uploaded documents may contain vehicle identifiers, license plates, visible property, people, personal belongings, listing information, or other personal information. We use these materials to evaluate requests, perform and document services, prepare reports, communicate findings, maintain records, address complaints, and protect legal rights.

Inspection and service reports may be delivered to the customer and to another recipient the customer identifies or authorizes. Before uploading a file or directing us to send a report to another person, make sure you are authorized to do so.

We may publish an anonymized summary of completed work when the publication option is selected in the applicable workflow. A published summary may include the completion date, city, general vehicle description, and general service summary. We do not intentionally publish the customer name, exact street address, telephone number, email address, VIN, license plate, payment information, or price as part of an anonymized completed-job post.

9 Data Retention

We retain personal information for only as long as reasonably necessary for the purpose for which it was collected and for legitimate business and legal needs. The applicable period depends on the information and may include the time necessary to:

Respond to and document quote, service, battery, emergency, and pre-purchase inspection requests.

Maintain estimates, authorizations, revised authorizations, repair orders, inspection reports, invoices, warranties, payments, tax records, and customer communications for legally required or operational periods.

Maintain proof of appointment, communication, consent, opt-out, completion, and publication selections.

Resolve complaints, chargebacks, warranty claims, insurance matters, disputes, and legal claims.

Detect fraud, preserve security logs, maintain backups, and protect the integrity of business systems.

When information is no longer reasonably needed, we may delete it, deidentify it, or retain it only as required or permitted by law. Backup copies may remain for a limited period until overwritten through normal backup cycles.

10 Data Security

We use administrative, technical, and physical safeguards designed to protect personal information. Safeguards may include access controls, authentication, vendor controls, system updates, security monitoring, backups, staff procedures, and encryption where appropriate. Access is limited to people and providers who need the information for authorized purposes.

No internet transmission, email, text message, storage system, or security measure can be guaranteed completely secure. You are responsible for using reasonable care when sending information and for protecting any links, devices, accounts, or credentials used to access customer materials. Please contact us promptly if you believe information connected with an AutoMedic request or service has been accessed or used without authorization.

11 Your Choices and Privacy Requests

Subject to applicable law and appropriate identity verification, you may ask us to:

Explain the categories or specific pieces of personal information we maintain about you.

Correct inaccurate contact, vehicle, scheduling, or service information.

Delete personal information that we are not required or permitted to retain.

Provide information about the categories of sources, business purposes, and recipient categories connected with your information.

Stop promotional email or text messages and record a communication preference.

Address a concern about cookies, analytics, a report recipient, an uploaded file, or an anonymized public job summary.

Send a request to info@theautomedic.com or call (855) 928-8663. Describe the request and provide enough information for us to locate the appropriate record. We may ask for reasonable verification before acting. We will use verification information only for the request and related security purposes.

We may deny or limit a request when we cannot verify it, when an exception applies, when deletion would interfere with completing a requested transaction or warranty, when records must be kept for legal or accounting purposes, when disclosure would adversely affect another person, or when the request is fraudulent, excessive, or otherwise not required by law. We will not unlawfully discriminate against a person for exercising an applicable privacy right.

12 California Privacy Disclosures

California privacy laws may provide additional rights depending on the law, the type of information, and whether the law applies to The AutoMedic. These rights can include access or knowledge, correction, deletion, information about disclosures, opt-out rights concerning sale or sharing, limits on certain uses of sensitive personal information, and freedom from unlawful discrimination.

The AutoMedic does not use sensitive personal information to infer characteristics about a customer. Service addresses, vehicle locations, message content, and payment-related information are used only for purposes reasonably connected with providing, securing, documenting, and administering requested services and complying with law.

We do not sell customer personal information for money. We do not share customer service records for cross-context behavioral advertising. If The AutoMedic becomes subject to a law requiring an additional opt-out link, request method, notice at collection, or recognition of an opt-out preference signal, we will provide and honor the required mechanism.

12 1 California Shine the Light

California Civil Code section 1798.83 may allow certain California customers to request information about disclosures of personal information to third parties for those third parties’ own direct-marketing purposes. The AutoMedic does not disclose customer personal information to third parties for those third parties’ own unrelated direct marketing. Questions may be sent to info@theautomedic.com.

13 Children

The website and automotive services are intended for adults. We do not knowingly collect personal information online from children under 13, and a person requesting or authorizing service must be at least 18 and legally able to enter into a contract. If you believe a child has provided personal information without appropriate authorization, contact us so we can review and address the information.

14 Third Party Websites and Services

Our website may link to or display third-party websites and services, including maps, scheduling pages, payment pages, review platforms, vehicle listings, social media, and other resources. The AutoMedic does not control the privacy, security, availability, or content of those external services. Review the privacy policy of a third-party service before providing information to it.

15 Changes to This Policy

We may update this Privacy Policy to reflect changes in our services, technology, providers, data practices, or legal requirements. The updated version will be posted at https://theautomedic.com/privacy/ with a revised effective or last-updated date. Material changes will apply prospectively unless applicable law requires otherwise. When legally required, we will provide additional notice or obtain consent.
